The artist onboarding process is triggered by the gallery and starts with uploading an artwork and then creating a consignment. The artist will then receive an email with a link to onboard on the Arcual platform, where they will be able to sign artwork registration and consignment agreement.

To upload new artwork follow these steps:
- In the top navigation bar, click on ‘Artworks’
- Click either ‘Add new artwork’ or ‘Import multiple artworks’
- Enter artwork image and details or upload the file you exported from Artlogic
- Enter resale terms
Remember: Once this is sent to the artist, and they approve, the artwork will be registered on the blockchain, and it will no longer be possible to edit it. - Finish uploading the artwork(s)
- You should now see the artwork(s) you uploaded in the ‘Artworks’ section with the status “Draft”.
The “Draft” status means the artwork has been uploaded to your gallery’s database but not yet registered on the Arcual blockchain. To invite an artist to use Arcual and finish the artwork registration, follow the next steps to create a Consignment Agreement.
2. Create and send a Consignment Agreement to your artists
- In the top navigation bar, click on ‘Consignment’
- Click on ‘Create consignment’
- Enter the artist’s email address
- Enter the selling price and define the primary sale terms you have agreed upon with the artist
- If applicable, add your personal consignment terms and conditions
- Enter the consignment end date that you have agreed upon with the artist
- Review all the data you have entered about the artwork, resale terms, and primary sale terms, together with all Terms & Conditions.
Be mindful that once the artist accepts the consignment agreement, the contract gets stored on the blockchain, and it won’t be editable anymore.
- Click on ‘Send to Artist’
You should now see the new consignment in status "Review pending" and, in the artworks section, the corresponding artwork also in status "Review pending". This means that both the artwork and the consignment have been sent to the artist for approval, before being registered on the Arcual blockchain. At the same time, an email has been sent to your artist with a link to create their account.
3. Onboard your Artists
Artists should have received an email with a link to sign up to Arcual. By following that link, they will start the onboarding process at the end of which they will be able to register and consign the artwork(s) a gallery has sent them.
For the artist to proceed, they will need to be prepared to provide their:
- Bank account details
- ID (verification with a smartphone) or scans of ID
The artist should open the email invitation with the link to sign up to Arcual. The artist can login & create a profile by following the following steps:
- Create a password and a profile. Changing an email is not possible at this time.
- Provide details for future payouts:
- Personal country of residence
- Account holder’s name and bank details
- At this time, the artist’s currency is tied to the gallery's preselected currency; therefore, it is not possible to edit it. - Review personal details to check that all input data is correct
- Verify identity on Stripe (our payment platform), which is a legal requirement to receive payouts:
- Provide your personal details that match country of residency
- Upload pictures of ID - ID verification may take up to 48h, but in the majority of cases it is instant.
- Proceed by clicking on ‘finish setting up profile’.
- Enter optional personal details, including artist signature.
- The signature will be used on all the Certificates of Authenticity.
After the profile has been correctly set up, the artist can proceed to reviewing the consignment that was sent by the gallery along with the artwork registration.
Accepting and signing these documents is only possible after the Stripe account has been correctly verified.
2. Approve a Consignment Agreement
- Click on ‘Consignments’’ on the top navigation bar to access the consignment agreement containing the artworks waiting to be registered.
- To access a consignment, click on the consignment with the status “Review Pending”.
- Review all information regarding the artwork and the consignment agreement, including consignment terms and resale terms. Once approved, it will not be possible to edit any of these details.
- In case of any mistakes in the artwork details or disagreement, contact the gallery to get them edited before proceeding to consign. A new consignment agreement and artwork registration request will have to be sent to the artist with the corrected information.
- Approve and consign by clicking on tick marks for both the artwork registry and smart contract
- After consigning and approving the terms, both the artist and gallery will receive an email notification that the consignment is approved!
Artist Onboarding Completed
Shortly after approving the registration of the artwork and the consignment, the status of the consignment will change from "review pending" to "consigning.." in both the artist’s and the gallery’s account. It might take some time for the status to change to "consigned", as adding the record to the blockchain is not an immediate operation.
Once the consignment agreement is in status "consigned", the artwork(s) will also appear in the ‘Artworks’ section of the artist's account. Once the consignment operations are complete, the gallery and the artist will also be able to visualize the Certificate of Authenticity. It will be accessible both from the artwork details page and from the consignment page relative to the artwork.
